Formatting the Newsletter

The PRSA-NCC Newsletters have been set up using Dreamweaver Templates so that Contribute users may easily update the content for each month's newsletter.

  1. To create a new issue of Capital PR News, please create a New Page based on the newsletter.dwt Template.
  2. Edit the Page Title, as well as the Volume and Issue numbers.
  3. Copy and paste the articles into each section of the newsletter using the content from the e-mails or Microsoft Word documents.
  4. Please refer to the existing formatting for the Events section, such that the date is on the first line, the title of the event is linked to the proper page on the PRSA-NCC web site, followed by the location and time of the event.
  5. Please separate multiple articles within one section with a set of paragraph tags <p> with the class of "rule" applied, which will apply a horizontal rule line separator.
  6. Where possible, please replace any long link URLs with descriptive text that links to the respective web address.
  7. Please resize and crop the Member Spotlight image to fit the same dimensions and right alignment as the existing picture, making sure that the link to the image is an absolute (complete URL) path as opposed to a relative path, otherwise the image will not be referenced when the e-mail is sent.
  8. Please do not edit the Table of Contents or Sponsors section unless it is necessary.
  9. Once the newsletter is ready for review, please "Publish" the new issue, add a new link to the Newsletter index page, and e-mail the link to newsletter@prsa-ncc.org.

 

Adding the Newsletter Link to the Web site

Once the Newsletter is ready for distribution, you will want to add a link to the Newsletter to the PRSA-NCC Web site. This will not be done through Contribute, but will be done through the online Content Management System.

  1. After you have logged in to the web site, you will be able to press the "Pencil and Paper" icon to begin editing the page.
  2. Add another list item for the current month and year of the newsletter and press the "Link" icon in the WYSIWIG editor menu
  3. In the pop-up window, please copy and paste the URL of the newsletter into the "URL" field and make sure that it is set to "Open in New Window"; press the "Insert" button at the bottom of the window.
  4. When the link has been added, please press the "Save" icon in the upper right of the CMS screen to Publish the changes to the page.

 

Sending the Newsletter

Once the newsletter edits have been made and approved, you will need to login to the Wired for Change system to send the HTML Newsletter to the PRSA-NCC Membership.

  1. Click on the "E-mail" tab
  2. Click on "Create a New E-mail Blast"
  3. Select "Create your own e-mail from scratch" and press the "Continue" button
  4. Add a Reference Name and Subject; in the top box, press the "HTML" button to open up a window where you can copy and paste the source code of the HTML file; lastly, in the Text Content box, you will need to format a Text version of the e-mail (just in the window, not on the web site); when finished, please press the "Save and Continue" button at the bottom of this screen
  5. Choose the "Current Members" query from the drop-down menu and press the "Use this Query" button.
  6. Change the "From" and "Reply-to" e-mail addresses to "info@prsa-ncc.org"; schedule the date and time of the e-mail if it is not to go out immediately; press the "Save and Preview Blast" button.
  7. Enter your e-mail address in the "Test E-mail Address" field and press the "Send Test E-mail" button
  8. If the test e-mail is received properly, press the big red "Submit Blast Now" button.
